Give your AI the facts, or it will guess

The 15-minute setup that stops AI from making things up about your shop

AI is very good at sounding confident. That's a problem when it doesn't actually know the answer. Ask a generic chatbot "what time is same-day delivery cutoff at Rosa's Flowers?" and it may give you a perfectly polite, completely made-up answer.

The fix is simple: give it the facts before it ever talks to a customer.

The day-one fact sheet

Spend 15 minutes on this list. It will save you hours of corrections.

  • Hours, including holidays and the days you close early
  • Delivery area (zip codes or towns) and delivery fees
  • Same-day cutoff time
  • Price ranges for your common orders: everyday bouquets, sympathy, weddings
  • What you don't do, like "no wedding orders under $1,500" or "no live plants delivery"
  • How you take orders: website, phone, walk-in
  • Policies: substitutions, refunds, cancellations
  • How you like to sound: warm and casual, or polished and formal
  • Who to send things to when it's urgent

Teach it to say "I'll check"

The most important instruction you can give an AI is this: if you don't know, ask me. A good AI says "Let me check with the owner and get right back to you" instead of guessing. That one habit prevents most of the embarrassing mistakes.

Keep it current

Facts change. Prices go up before Valentine's. You add a delivery town. You close for a week in August. Tell your AI the same way you'd tell your staff: one quick message, like "We're closed July 4th."

Let it read your website, then check

Many AI tools can read your website to learn the basics. That's a great head start, but websites go out of date. Read back what it learned and correct anything that's wrong.

What to avoid

  • Letting it quote prices you haven't confirmed.
  • Assuming it knows your seasonal changes. Holiday hours and holiday pricing should be spelled out.
  • Burying important facts in a long document. Short, clear statements work best.
